A video producer sending a rough cut for comments has a different problem from a designer handing over approved assets. The useful comparison is what happens between “please review this” and “these are the final files”, not simply which service accepts the biggest upload.

What does a real creative handover need?

A creative handover needs a clear review version, an agreed approval and an unmistakable final delivery. Decide which stage you are buying a tool for before comparing plans.

Consider an illustrative campaign package containing a 2 GB video and 500 MB of images and captions. Two reviewers need to comment on the draft. Once approved, the client will collect the 2.5 GB final package within two days. This is a planning example, not a timed test or a customer case study.

Keep the final delivery separate from the review copy, even if you use one service for both. A client should not have to guess which of several similarly named exports is ready to publish.

When is Hightail the better fit?

Hightail is worth considering when feedback and approvals are the main difficulty. Its creative collaboration documentation describes comments on files, annotations, version control, visual comparison and approval routing.

For the campaign example, that means keeping comments against the relevant creative version before preparing the final package. Confirm the required plan: Hightail says Lite and Pro users cannot request approvals or assign tasks. Buying a larger file allowance alone does not buy the entire review workflow.

Reviewer access also needs checking. Hightail documents guest commenting without a reviewer account when the Business account enables Guest Commenting and the Space uses public link sharing. Those are specific conditions, not a promise that every Hightail plan provides anonymous review. Check whether that sharing arrangement suits the material before inviting clients.

What has changed about WeTransfer reviews?

WeTransfer retired Reviews and Portals, so an older comparison that recommends those features is no longer a sound buying guide. Its retirement notice gives 22 December 2025 as the removal date.

WeTransfer now points users to Previews for inspecting files without downloading them. If you need a particular approval or annotation process, verify that exact capability in the current product. A preview and a formal approval record serve different purposes.

WeTransfer can still be considered for the finished delivery. Its current plan limits list Free as up to ten transfers or 3 GB total in a rolling 30 day window. Both constraints matter. The 2.5 GB example fits the data allowance only if enough remains from earlier sends, and you must also check the expiry shown for the transfer.

Which free plan fits the finished files?

HeftySend Free fits the example’s 2.5 GB package and two day collection plan without needing a paid transfer plan. Hightail Lite’s individual file limit does not fit its 2 GB video.

Hightail’s file sharing guide distinguishes individual file limits from storage. Its plan comparison lists 25 GB for Pro, 50 GB for Teams and 500 GB for Business. These are different allowances from WeTransfer’s rolling Free total and HeftySend’s per transfer Free limit.

How should you package and send the approved work?

Send only the approved versions, include a simple inventory and tell the client when to collect them. A clear package makes the service choice useful in practice.

  1. Put the final video, approved images and captions in one clearly named delivery folder.
  2. List the filenames and intended uses so the recipient can distinguish the master from smaller viewing copies.
  3. Use individual files when previews are helpful, or a ZIP when the folder structure needs to travel together.
  4. Open a test copy of the ZIP before uploading it. Check the completed transfer page before sharing its link.
  5. State the collection deadline and ask the client to confirm that the saved files open correctly.

Is Hightail the same service as YouSendIt?

Hightail grew from YouSendIt. The company’s official history records its founding in 2004, the Hightail rebrand in 2013 and acquisition by OpenText in 2018.

If you remember YouSendIt as a way to send an oversized attachment, assess today’s Hightail plans against today’s job. The historical name does not tell you whether you need a transfer, a review workspace or both.

Does a bigger upload limit mean a faster transfer?

No. An allowance tells you what a plan accepts, not how quickly your connection sends it. This comparison includes no speed benchmark.

Should every reviewer receive the final download link?

Only send the final delivery to its intended recipients. Someone invited to comment on a draft may not need the complete production package.

Should I pay for Hightail just to send one large file?

Check whether you need its collaboration features or only file delivery. A finished package within HeftySend’s free allowance may not need a paid plan if the three day collection window suits the client.

Can a ZIP replace the review workspace?

No. A ZIP keeps files together for transport. It does not collect annotations or establish which version a reviewer approved.

What if the client cannot collect within three days?

Agree a later upload or choose a suitable longer availability plan before sending. Do not assume a missed collection window can always be extended after expiry.

Do I need to migrate every project to one service?
