What should you ask the client for before they upload?
Send a short checklist based on the job. For a video edit, that might be the original clips, separate audio, approved logo files and a brief. For a design project, it could be the existing artwork, reference images and final copy. Ask for the actual files you need rather than “everything”.
- Identify the originals. If you need source footage, say so. A video saved from a messaging app may not be the version the editor needs.
- Keep related files together. Ask the client to preserve meaningful folders and companion files when they are part of the project.
- Check the total size. Include audio, graphics and reference documents, not just the main video.
- List the expected contents. A note saying “18 clips, two audio recordings and one PDF brief” makes omissions much easier to spot.
- Choose a collection time. Arrange the upload for a day when you can download before expiry.

What message can you send your client?
Adapt this example to your project and the size you have agreed:
Please send the original clips, separate audio and the PDF brief together. Check that the complete delivery is within 20 GB, then open HeftySend, choose the files and wait for the upload to finish. Send me the completed download link and the number of files included. A basic free transfer does not require an account. That message gives the client a task they can finish. Avoid sending several alternative services unless there is a practical reason: it leaves them to make another decision before the work can begin.

How do you collect the files and check the delivery?
- Open the completed link. If access is protected, use the password supplied by the sender.
- Compare the file list with the brief. Check the expected filenames and count before beginning the job.
- Preview supported files. Use a video, image, audio or PDF preview to identify the delivery. Download the assets you actually need for work.
- Save the originals locally. Choose a project folder with enough free space. Allow additional space if you will extract an archive.
- Open representative files. Check that the intended editing application can use them, and report any missing assets promptly.
- Confirm receipt. Tell the client when the package is complete, rather than leaving them to assume the upload solved everything.

Can you receive footage and return the edit without another subscription?
Yes, when each separate delivery fits the free allowance and its collection window suits the recipient. Consider an illustrative job with 12 GB of source clips and a finished 2 GB video. The client uploads the source delivery and sends you its link. You download and edit locally, then create a new transfer for the finished export and send that new link back.
Those are two separate handovers. You are not uploading into the client’s original transfer, joining their storage account or sharing their credentials. Label the return clearly, for example “Review version 1”, and explain whether it is for feedback or final publication.

Is a transfer link the same as a shared folder or file request?
No. In this workflow, the client creates a transfer and sends you the resulting link. You receive a defined package. It does not create an ongoing folder where both parties automatically see every change.
A shared workspace may be more suitable when the job requires repeated collaborative edits or continuous synchronisation. A dedicated file request tool can offer a different collection flow, where you give the client an upload destination. This guide does not claim that HeftySend provides that request portal. For a single brief, a transfer link can keep the handover straightforward. Agree how later additions will be labelled, so a second batch does not silently replace part of the first.
When is a paid plan useful?
Choose a paid plan when the delivery exceeds the free allowance, the client needs a longer collection period or you want a customised presentation. HeftySend’s Premium plan currently supports up to 1 TB per transfer with up to 365 days of availability using its included storage. Verify the current plans against your project.
Paid custom download pages add templates, colours, backgrounds and text. They are particularly useful for the finished work you send back: identify the approved version and give the client clear next steps. Branding removal has its own plan requirements.

What if the client’s upload takes longer than expected?
Agree a realistic handover deadline and leave time for your download as well as their upload. Ask them to keep the tab open until the transfer finishes. If it stalls, use the upload troubleshooting guide rather than repeatedly changing the agreed delivery method.

Does my client need to buy a subscription for one delivery?
Not when the complete transfer fits HeftySend’s free 20 GB allowance and three days gives you enough time to collect it. Paid features and larger deliveries have different requirements.
Should I give the client my login details?
No. Ask them to create their own transfer and share its download link. You can return finished work through a separate transfer.
Can several people send files for the same project?
They can each send a transfer link. Keep a simple list of contributors, expected contents and collection deadlines so you can confirm which parts have arrived.
What if some files are missing?
Compare the delivery against the agreed inventory and ask the sender for the missing items by filename. Keep the first batch separate until you have reconciled the complete project.
What if I cannot collect the files within three days?
Arrange a later upload or agree a paid transfer with enough availability. If a link has already expired, contact the sender. Keep originals so a fresh delivery remains possible.
Does a preview replace downloading the original?
No. A preview helps you identify or check supported content. Download the actual assets you need for editing, delivery or your project backup.
